Privacy Policy

Effective Date: May 12, 2025

Cable Fleet ("Company," "we," "us," or "our") is committed to protecting the privacy of our customers and website visitors. This Privacy Policy explains what personal information we collect, how we use it, how we protect it, and your rights regarding that information.

By providing your information to Cable Fleet — whether through our website, by phone, by email, or in person — you acknowledge that you have read and understood this Privacy Policy.

1. Information We Collect

Cable Fleet collects only the minimum personal information necessary to process your rental inquiry, fulfill your order, and provide customer support. Specifically, we may collect:

  • Full name of the individual or primary contact making the reservation.
  • Phone number for order confirmation, delivery coordination, and customer support.
  • Email address for rental confirmations, invoices, and communications.
  • Company name (if applicable) for business account setup and invoicing.
  • Event details such as event date, location, duration, and the type of event or project for which equipment is being rented.

We do not collect sensitive personal information such as Social Security numbers, government ID numbers (beyond what may be required at the time of in-person pickup for age or identity verification), financial account numbers, health data, or biometric data.

We do not collect personal information from individuals we know to be under the age of 18. If you believe a minor has submitted personal information to us, please contact us immediately at contact@cablefleet.com.

2. How We Collect Information

We collect personal information through the following means:

  • Directly from you — When you submit a rental inquiry, complete a booking form, call us, send an email, or interact with us in any other way.
  • Automatically — Our website may use cookies or similar technologies to collect basic usage data (such as pages visited and time spent on the site). This data is used solely to improve website functionality and is not linked to your personal identity.
  • From third parties — In limited cases, we may receive your contact information from a third party (such as an event planner or colleague) who places a rental order on your behalf.

3. How We Use Your Information

Cable Fleet uses the personal information we collect exclusively for legitimate business purposes related to our rental services:

  • To process and fulfill rental orders and reservations.
  • To communicate with you about your order, including confirmations, updates, delivery logistics, and return reminders.
  • To generate and send invoices, receipts, and payment-related communications.
  • To respond to your questions, requests, or customer support inquiries.
  • To coordinate delivery and pickup of equipment to event locations.
  • To maintain accurate business records as required by law.
  • To send occasional service-related communications (e.g., updates to our policies or service offerings). We do not send unsolicited marketing emails.

We will never sell, rent, or trade your personal information. We do not use your information for automated decision-making or profiling.

4. How We Share Your Information

Cable Fleet does not sell or share your personal information with third parties for their own marketing purposes. We may share your information only in the following limited circumstances:

4.1 Service Providers

We may share information with trusted third-party vendors who assist us in operating our business — such as payment processors, delivery logistics partners, or email communication platforms. These vendors are contractually required to use your information only to perform services on our behalf and to protect it in accordance with this Policy.

4.2 Legal Obligations

We may disclose your information if required to do so by law or in response to a valid legal process (such as a court order or subpoena), or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Cable Fleet, our customers, or the public.

4.3 Business Transfers

In the event that Cable Fleet is acquired, merged, or undergoes a change in ownership, your personal information may be transferred as part of that transaction. We will notify you of any such change and any new privacy terms that may apply.

5. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes described in this Policy, comply with our legal obligations, resolve disputes, and enforce our agreements.

As a general rule:

  • Rental records (including name, contact information, and event details) are retained for a minimum of 7 years in accordance with Massachusetts business record-keeping requirements.
  • Inquiry records where no rental was completed are retained for up to 2 years and then deleted or anonymized.

When personal information is no longer needed, we securely delete or anonymize it.

6. Data Security

Cable Fleet implements reasonable and appropriate administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, disclosure, alteration, and destruction. These measures include:

  • Restricting access to personal information to authorized personnel only.
  • Storing digital records in password-protected systems.
  • Using encrypted communication channels (such as HTTPS) on our website.
  • Periodically reviewing and updating our security practices.

No method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify you as required by Massachusetts law (M.G.L. c. 93H).

  • Right to Correction — You may request that we correct inaccurate or incomplete information.
